Moving From Spreadsheets to ERP: A Migration Guide

ERP projects often struggle at migration rather than at build. Moving years of records out of spreadsheets is mostly about data discipline, and almost all of that work can start before you have chosen a system.

1. Inventory every spreadsheet

List every file the business actually runs on, who owns it, and what decisions it feeds. Expect to find several versions of the same list — three customer files, two stock sheets — each slightly different.

For each file, record which system will own that data once the ERP is live.

2. Clean the master data first

  • Merge duplicate customers, suppliers and items, and agree one naming convention.
  • Fill in missing mandatory fields: tax numbers, units of measure, contact details.
  • Decide how much transaction history you really need to migrate. Open balances may be enough.
  • Freeze the structure of the spreadsheets so cleaned data does not drift back.

3. Map old fields to new ones

Build a field-by-field map from each spreadsheet column to the ERP record it becomes, including transformations (split names, standardised dates, converted codes). This map is the specification for the import, and the document you will check against when numbers do not match.

4. Migrate in phases, not all at once

  • Start with master data, then open balances, then live transactions.
  • Run a trial import into a test environment and have each department check its own records.
  • Migrate one module or one site first, learn from it, then roll out the rest.

5. Run both until the numbers agree

For a short period, keep the spreadsheets running alongside the ERP and reconcile key figures — stock on hand, receivables, cash — at the end of each week. When they match, switch the spreadsheets to read-only and make the ERP the single source of truth.

6. Train by department

People resist a new system when it slows them down in their first week. Train each department on its own daily tasks, using its own migrated data, and roll out in phases so support can keep up. If you are connecting tools you plan to keep, see our ERP integration services.
